Occupancy reconciliation: rooms slept in with no folio
Three counts of the same hotel
The night audit prints rooms sold (from the statistics page), the in-house list (every open folio), and the housekeeping report (room status as the housekeepers left it). At a clean hotel the three agree, give or take a late checkout. Where they disagree, either a folio was never created, a room was marked out of order and sold anyway, or a guest was moved after settlement.
How a room goes off the books
A walk-in pays cash. The clerk gives them a key without creating a reservation, or creates one and deletes it at checkout. The room shows dirty in the morning; housekeeping cleans it; the day's revenue never includes it. It is the oldest trick at a front desk and the pack shows it — but only if someone compares two pages that are forty pages apart.
Housekeeping status: dirty, occupied. In-house list for the night: room vacant. Rooms sold: 41. Rooms cleaned: 42. Third time in a month for the same room on the same shift.
Where it shows on the pack
The check: rooms marked occupied or dirty by housekeeping minus rooms with an open folio. Also watch out-of-order rooms that flip to sold on the same night, and rooms with a key cut in the key system but no folio.
What to ask the desk
- For each housekeeping discrepancy this month: which room, which shift, and what was the explanation?
- How many rooms were put out of order this month, by whom, and for what?
- Can the key system export key cuts by room for a night?
- Does the morning housekeeper report discrepancies to anyone other than the desk?
What changes when it is watched
