No-show revenue: why guaranteed bookings go uncharged

A guaranteed reservation that does not arrive is one night's revenue you are entitled to. At most small hotels, a share of them quietly become cancellations instead.

What is supposed to happen

A guaranteed booking has a card on file, a deposit, or a direct-bill company behind it. If the guest neither arrives nor cancels inside the window, the night audit posts a no-show charge — one night's room and tax — and the reservation appears on the no-show report with the amount. That is the hotel's policy, the brand's policy, and what the guest agreed to.

How it goes wrong

The clerk cancels the reservation instead. Sometimes the guest called and asked nicely; sometimes the clerk does not want the dispute; sometimes it is easier than finding the card. Cancelled reservations do not appear on the no-show report, so the pack looks clean. The only trace is the cancellation report, where the cancel time is after the arrival date.

One hotel, one August

19 guaranteed bookings cancelled between 5:40 am and 7:15 am the morning after arrival. Average rate $247. $4,696 not collected. The no-show report for the month showed four.

The tell is always the same: a guaranteed booking whose cancellation time is later than its arrival date, with no charge posted. One is a judgement call. Eight in a month, all by the same login, is a habit.

What to ask the desk

  • Show me every guaranteed booking cancelled after its arrival date this month, with the cancel time and login.
  • For each, who approved waiving the charge, and where is that written?
  • What is our no-show charge rate — charged divided by (charged plus cancelled-late) — and what was it three months ago?
  • Does the clerk know that the cancellation report is read?
